Terms of Service
These terms form an agreement between Hospitality Mentors Inc and the organization or individual subscribing to MentoCore. By creating an account or using the service you accept them.
1. The service
MentoCore is a hosted software platform for inspections, corrective actions, incidents, SOPs, training, traceability and related workplace safety and quality workflows. We may add, change, or retire features; we will not materially reduce core functionality of a paid plan during a paid term without notice.
2. Accounts and workspaces
Accounts are per person and must not be shared. The workspace owner controls who is invited, what roles they hold, and which modules are enabled. You are responsible for activity under your credentials and for keeping them confidential; enabling two-factor authentication is strongly recommended for owners and admins.
3. Subscriptions, fees and taxes
Paid plans are billed in advance for the stated period and renew automatically unless cancelled before the renewal date. Fees are exclusive of taxes. Non-payment may result in suspension after written notice. Trials convert to the selected plan unless cancelled before the trial ends.
4. Acceptable use
You agree not to:
- upload unlawful, infringing, or malicious content, or content you have no right to share;
- use the service to store special-category personal data beyond what the product is designed for (for example medical records) without a written agreement;
- probe, scan, or load-test the platform without written permission (see our disclosure policy);
- reverse engineer, resell, or provide the service to third parties as a competing offering;
- circumvent rate limits, quotas, role checks, or tenant boundaries;
- use AI features to generate content that is deceptive, harassing, or unlawful.
We may suspend access immediately for conduct that threatens the platform or other customers.
5. Customer data
You own the content your workspace creates. We process it only to provide and secure the service, as described in the Privacy Policy and DPA. You grant us the limited licence needed to host, transmit, back up, and display that content to your authorised users.
6. Availability and support
We target 99.5% monthly availability excluding scheduled maintenance, which we aim to perform outside peak hours. Support is provided by email at support@hospitalitymentors.net during business days, with a first-response target of one business day.
7. Confidentiality
Each party will protect the other's non-public information with at least reasonable care and use it only to perform under these terms.
8. Warranties and disclaimers
We warrant that the service will be provided with reasonable skill and care. Otherwise the service is provided “as is”. MentoCore supports your compliance programme but does not itself constitute legal, regulatory, or food-safety advice, and does not guarantee any regulatory outcome.
9. Limitation of liability
Neither party is liable for indirect, incidental, or consequential damages. Our aggregate liability in any 12-month period is limited to the fees paid in that period. Nothing limits liability that cannot be limited by law.
10. Term and termination
Either party may terminate for material breach not cured within 30 days. On termination you may export your data for 30 days, after which it is deleted in line with our retention schedule. You can also close your account yourself in Settings → Privacy & data.
11. Changes and contact
We may update these terms; material changes are notified to workspace owners at least 30 days before they take effect. Questions: legal@hospitalitymentors.net.
